MyCarrierVault ("we", "our", or "us") operates mycarriervault.com. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data.

1. Information We Collect

We collect information you provide directly when you:

Create an account (name, email address, company name, DOT number, password)
Add drivers, vehicles, and compliance documents to your account
Upload files and documents
Contact us for support

We also automatically collect certain technical information when you use our service, including IP address (anonymized for analytics), browser type, device type, pages visited, referring URL, and usage patterns. This is collected through Google Analytics 4 only when you accept analytics cookies via our cookie banner.

2. How We Use Your Information

To provide, operate, and maintain the MyCarrierVault platform
To send document expiry alerts and compliance notifications via email
To communicate with you about your account and support requests
To improve our product and user experience
To comply with legal obligations

3. Data Isolation and Security

All company data is isolated by account — your drivers, vehicles, and documents are never accessible to other companies on the platform. Data is stored on encrypted servers and all communications are transmitted over HTTPS. We do not sell, rent, or share your data with third parties for marketing purposes.

4. Document Storage

Documents you upload (CDL copies, medical certificates, inspection reports, etc.) are stored securely and are only accessible to authorized users within your company account.

5. Third-Party Services

We use the following third-party services:

Google Analytics 4 (Google LLC, USA) — to measure aggregate website traffic and understand which pages visitors find useful. We use Google Consent Mode v2: analytics cookies are denied by default and only set after you click "Accept" on our cookie banner. We have enabled IP anonymization. We do not use Google Ads, remarketing, or advertising features. You can install Google's browser opt-out add-on to block Google Analytics on every site you visit. Stripe (Stripe, Inc., USA) — to process subscription payments when you upgrade from the free trial. Stripe receives your name, email, billing address, and card details directly; we never see or store full card numbers. See Stripe's Privacy Policy.
Cloudflare (Cloudflare, Inc., USA) — DNS provider for our domain. Cloudflare may log basic request metadata (IP, timestamp) for security and abuse prevention.

6. Data Retention

We retain your account data for as long as your account is active. If you close your account, we will delete your data within 30 days upon request.

7. Your Rights

You have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your account and associated data
Export your data

8. Cookies and Tracking

We use the following categories of cookies and similar storage:

Strictly necessary — session cookies that keep you signed in and protect against CSRF (cross-site request forgery). These are always active and cannot be disabled, because the application will not work without them.
Analytics — Google Analytics 4 cookies (_ga, _ga_*) used to measure aggregate site usage. Off by default. Only set after you click "Accept" on the cookie banner shown on your first visit.

To change your choice later: clear your browser's site data for mycarriervault.com (the banner will reappear on your next visit), or use the Google Analytics opt-out add-on linked above. We do not use advertising, remarketing, or cross-site tracking cookies of any kind.

9. Children's Privacy

MyCarrierVault is a business software product not directed at children under 13. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the platform. Continued use of the service after changes constitutes acceptance.
