The online driver application

Seven short steps, made for a phone: personal details, addresses, license, safety record, employers, documents, and signing. The driver can't skip the parts FMCSA requires.

Ten years of history, checked

CDL drivers have to list 10 years of employment. The form won't submit with gaps in those 10 years, so you're not chasing them later.

§391.21

Consents signed up front

The FCRA disclosure on its own page, plus consent for previous-employer checks, the MVR, PSP and the Clearinghouse. Each one becomes its own signed PDF.

§391.23 · §382.701

A finished application PDF

The answers are laid out as a proper four-page employment application with your company logo. You review it and countersign, and it's filed.

A checklist for every applicant

Each applicant gets the same list, with the regulation next to each step. You can add or remove steps to match how your company hires. When the driver uploads a document, it's matched to the right step for you.

Step Regulation How it gets done
Application and consents §391.21 Done when the driver submits the form
CDL and medical certificate §391.41 · §391.43 Driver uploads; Vault AI reads the dates
MVR and PSP report §391.23 You order them, upload the result, and it's checked against the application
Previous employers §391.23 Requests sent and followed up by VaultHire
Drug test and Clearinghouse full query §382.301 · §382.701 Only ticked off when the actual result is on file
Road test §391.31 Upload the certificate or the CDL you accepted instead

Previous-employer checks that chase themselves

You have 30 days from a driver's first day to finish the safety performance history checks, and past employers are slow to answer. VaultHire, the verification part of MyCarrierVault, does the follow-up for you.

  • 1
You choose who to contact Each request goes out with the driver's signed release attached, and the employer answers on a short web form. No login needed on their end.
  • 2
No answer? It asks again Every two days, up to four times, and never on a weekend. You can switch this to manual if you'd rather send them yourself.
  • 30
The deadline is tracked A warning at day 20. If an employer never answers, every attempt is on record to show a good-faith effort.

Then one click to hire

When the required steps are done, confirm the hire. MyCarrierVault won't let you skip a required step, or hire the same CDL twice.

The driver file is ready

The applicant becomes an active driver, and every document moves into their driver qualification file. Nothing gets re-uploaded.

The annual clocks start

The first annual Clearinghouse query is scheduled 12 months out, and the CDL and med card expiry reminders are already running.

Assign a truck

Optionally put them on a truck in the same step. Any previous-employer checks still open keep running after the hire.

Common questions

Does the driver need to create an account?

No. They open the link on their phone or computer and fill in the application. There's nothing to download and no password to set.

Is the online application FMCSA compliant?

It collects everything 49 CFR 391.21 asks for, including 10 years of employment history for CDL drivers, and checks the history covers the full 10 years before the driver can submit. You review it and countersign before the PDF is final.

Can I order MVRs, PSP reports or drug tests through it?

Not yet. You order those from your usual providers and upload the results. Each one is a step on the checklist, and Vault AI reads the result and flags anything that doesn't match the application.

How does previous-employer verification work?

You pick which past employers to contact, and VaultHire emails each one a request with the driver's signed release attached. Employers answer on a simple web form. Unanswered requests are re-sent every two days, up to four times and never on a weekend, and the 30-day deadline in 49 CFR 391.23 is tracked for you.
