Truck Maintenance

Truck maintenance tracking
that knows when each truck is due

Set how often each truck needs an oil change, a PM or new brakes, in days or miles. MyCarrierVault tells you when one is coming up and keeps the full history of every service, with the receipt attached.

How it works

You need to keep maintenance records for every truck you control (§396.3), and a truck that misses its PM is how a roadside inspection turns into an out-of-service order. Here's how the app keeps on top of it.

Set an interval once

For example "oil change every 15,000 miles or 90 days" on truck 104. Set it per truck and per service type, since your trucks don't all run the same.

Log the service

Date, odometer, what was done, the shop and the cost. The next due date and mileage fill in from the interval. Did the same service on six trucks? Log it once for all of them.

Or just drop in the receipt

Vault AI reads the shop invoice and fills in the date, cost, vendor, odometer and type of service. You check it over and save.

Miles update by themselves

Connect Motive, Samsara, Geotab or TruckX and odometers update every morning, so mileage-based reminders stay accurate without anyone checking the dash.

Truck paperwork too

Registration, insurance, the annual DOT inspection (§396.17), IRP cab card and title, each with its expiry date tracked like a driver's documents.

§396.17

Proof when you need it

Export the whole service history to a spreadsheet, or print one truck's record for an auditor or a buyer.

§396.3

One list of what's due

The Reminders tab puts every truck's upcoming service in one list, most urgent first. If you set both days and miles, whichever comes first counts. So a truck sitting in the yard still gets its 90-day service, and a busy one gets it by mileage.

  • Soon
Due soon: within 14 days or 1,000 miles Enough time to get the truck booked into the shop between loads.
  • Late
Overdue: past the date or the miles Shows up red on the dashboard, in the app's notifications and in the morning email digest until the service is logged.

What it isn't

This isn't shop software. There are no work orders, parts inventory, mechanic scheduling or engine fault codes. It's built for a carrier who sends trucks out for service and needs two things: to know what's due, and to prove what was done. For the yearly inspection itself, our §396.17 annual inspection checklist covers what the inspector looks at.

Common questions

Do I have to type in odometer readings?

Not if your trucks run Motive, Samsara, Geotab or TruckX. Once you connect your ELD, odometers update every morning on their own. Without an ELD you can type the reading in, and logging a service with an odometer reading updates it too.

When does a truck show as due?

It shows as due soon within 14 days or 1,000 miles of the next service, whichever comes first, and overdue once either one passes.

Can I set different intervals for different trucks?

Yes. Intervals are set per truck and per service type, so an older tractor can get oil changes more often than a new one.

Is this a full shop management system?

No. There are no work orders, parts inventory or mechanic scheduling. It's built for a carrier who sends trucks out for service and needs to know what's due and prove what was done.

Know what every truck needs next

Add your trucks, set a couple of intervals, and log the last service on each. The reminders take it from there.
