How a quarter goes
If you're new to IFTA, our quarterly filing guide explains the whole thing. Here's what it looks like in MyCarrierVault.
1. Upload your miles
Drop in the IFTA mileage PDF from Motive, Samsara, TruckX or most other ELDs, and the miles for each state fill in. Kilometres are converted, and you'll get a warning if the states don't add up to the report's total.
2. Add your fuel
Type in the gallons you bought in each state from your fuel receipts. If you'd rather work in a spreadsheet, there's an Excel template you can fill in and upload.
3. See what you owe
Fleet MPG, taxable gallons and tax due or credit for every state, at the current rates from iftach.org. Indiana, Kentucky and Virginia surcharges get their own columns.
4. File and keep it
File on your base state's website as usual. Then mark the quarter filed, attach the confirmation, and next quarter's reminder is set up for you.
Deadlines you don't have to remember
IFTA returns are due April 30, July 31, October 31 and January 31. Miss one and it's a penalty plus interest, and enough missed quarters can cost you your license. MyCarrierVault tracks each quarter until you mark it filed.
-
60dOn your dashboard 60 days ahead The open quarter is listed with its due date, so it's never a surprise.
-
30dIn the morning digest from 30 days out If you've turned on the daily email, the filing is listed there until it's marked filed.
-
14dA notification at 14 days And it stays there, overdue, until the quarter is marked filed or paid.

Common questions
Does MyCarrierVault file my IFTA return?
No. You still file and pay on your base state's website. MyCarrierVault does the math, keeps each quarter's worksheet and confirmation, and reminds you before the deadline.
Which ELD reports can it read?
It reads the IFTA mileage summary PDF from Motive, Samsara and TruckX, and most other ELDs' state mileage reports. If yours doesn't read cleanly, you can fill in our Excel template or type the miles in.
Where do the tax rates come from?
From the official IFTA rate tables published by IFTA, Inc. at iftach.org. Indiana, Kentucky and Virginia surcharges are shown in their own columns, and Oregon is set to zero because it uses a weight-mile tax instead.
I only need to work out one quarter. Is there a free option?
Yes. Our free IFTA calculator works without an account, and you can look up this quarter's rate for any state. The paid app adds saved quarters, the filing tracker and reminders.
